Minutes from the Meeting on Tuesday April 13th

    1. Changes to the weekly bulletin
      • Lesley reported that as everyone would be aware there had been changes made to the Bulletin and Wendy was very welcoming of any changes. Wendy had been sending the Bulletin to Lesley to check the content and to PamMcDonald for proof reading.

    2. Colour option for the weekly bulletin covers
      • Russell said it would cost about $600 to $700 for 5,000 copies of the Bulletin to have a front coloured cover. It was felt money was better spent in other areas.
    3. Web and wiki
      • David Jackson is going to check re updates to the Web each week and contact Russell re any changes.
      • John H is going to have an introduction for ComCom re the use of wiki at another meeting.

      • Russell working through a few things with Wendy eg. Calendar.
      • Russell /Aaron had updated many pages on the web.
      • John S had updated ComCom agenda and strategic plan to wiki.

    4. Notice boards (new, existing, location)
      • Lesley to contact Property Convenor – Warren Greenwood re three notice boards to go along ramp for the use of the four Missional Groups. (The Inclusive Community and Community Hub will share a notice board.) The leader of the relevant missional group is responsible for managing ‘their’ notice board and its content. This should free up the use of the portable notice boards from the foyer.
    5. Notices on church doors-
      • These have been removed and JanClear is going to check these while Lesley is away – new notices on the side windows and out dated notices to be removed. Wendy is going to put up a notice two weeks before the Church Anniversary to make people aware of the 10.00am service and also put A5 notices on the foyer table conveying this information. At a future ComCom meeting, further consideration will be given to a semi-permanent arrangement near the doors for advising changes to service times.

    6. Dating notices and removing old notices – All notices put up to be dated for removable when event is over. In exceptional cases, long term notices can be put up provided that a contact person is named.
    7. Message to church leaders about notices?
      • John S to contact all leaders about notices with a finishing date for the notice to be taken down.
      • John K asked re notifying leaders re the Church family events eg death of a member of the congregation. An option is to ask Wendy to notify church leaders by email so that they can pass the message on as they see fit.
  5. Speaking in services
    • John S is going to contact all church leaders to inform them if they would like to make an announcement during the church service they need to notify the Minister taking the service by the Thursday before. All announcements to be brief.
  6. Advertising worship times and special events in the Waverley Leader.
    • John H said the Waverley Inter-Church Council has an information notice about GWUC which goes on a leaflet to all hotels and motels in the area.
  7. External location of temporary signs (to avoid damage to pipes etc) –
    • Time was running short this item was not covered.
  8. External electronic notice board
    • Lesley spoke about getting costing and information about an external electronic notice board to go on the brick wall above the three stained glass windows that face down Kingsway. This would eliminate Real Estate boards – allowing all notices to be typed from within the church office. Many more notices could be displayed to the wider community. Whether it be the Church Fete or every day happenings in the Church we would be able to make people aware of GWUC.
    • Faye felt it would cost too much money (about$10,000)
    • Lesley explained this would not be for one year but looking ahead for the next 10 years and we need to look to the future.
    • Russell Greenwood is looking into the costing, display and setting up.
    • John H said this is where we could look at a one off special budget under the Growing Generous Givers planning.
  9. Communications strategic plan
    • Consider draft prepared by John Snare to fill in gaps, ensure that the content is correct, prioritise areas for improvement, and start development of medium-term plan.
    • As we had run out of time to discuss this, the next meeting will go through the strategic plan as everyone recognised John S had put in a lot of work and we need to spend time going through it.
