Property Committee Report to Church Council Nov 2023.
A Meeting was held on 30 October.
Expression of Thanks: Generous and warm expressions of thanks were offered to Warren for his diligent leadership of the Property Team over the last 15 years. Warren has been generous with his time given to this important work. Warren worked with the Team to improve and maintain the property in excellent condition and ensured we met all our legal obligations and Uniting Church obligations. Warren will continue serving on the committee.
New Leadership: A discussion was held about the way ahead in terms of leadership. No person had expressed a willingness to become chairperson. There was interest in exploring how sharing the role could work.
It was resolved by Consensus that –
MichaelBoldiston would become chairperson of the Property Committee. Michael’s role will be able to be conducted off-site. He will have the legal responsibility and authority. He will have oversight of the work. Warren will be consulted if there is a perceived conflict of interest between the Property Chairperson and the Office Manager.
RobertWood will do a weekly walk around the property to notice any maintenance and safety issues.
WarrenGreenwood will continue to represent interests of the property committee on the finance committee. Warren will complete the transition time with the manses. He will continue with the testing and safety compliance checks. He will be the contact for CarefulKitchenCrew. He will oversee the security cameras.
Over time we will ensure that there are position descriptions to clarify the scope of the role. There is a PD that may need updating.
It was recognized that each member of the Team has areas of responsibility that they will continue to oversee. The following highlights how the committee works as a team.
MichaelBoldiston – chairperson, ordering/managing/storing supplies
WarrenGreenwood– manses. Testing and safety compliance checks. Security Cameras. Contact for Careful Kitchen Crew
NeilLeister – regular test and tag, internet, solar system monitoring
JoelLeister– sound and lighting
RobertWood– basic repairs, weekly check of property.
MiriniLang – responsible for gardens
FairlieMackinnon – rosters
NeilPeters – church council matters
We wish to advise Church council that the Emergency Services and Testing is up to date and there are no issues to report Manses – Chris and Linda have settled in well. We are now finalizing changes to energy accounts.
Ian and Beth have visited No 17 manse recently. We have agreed to move the internet connection, replace a section of carpet and that the backyard will be addressed after they have settled in. The manse will be cleaned in December.
Church Council Action: Endorse the new leadership arrangement and appoint MichaelBoldiston as Chairperson of the Property Committee, with the usual delegations of the role.
