Record books for use by Leisure Time volunteers
There are four LeisureTime record and communication books referred to in this document:
Black Folder
Kept in the locked Leisure Time cupboard in Room 2, the Black Folder contains private and confidential contact details and medical information about guests. It is only to be used by:
- The Coordinator or Secretary, for planning purposes
- Day Leaders, in case of emergency or illness of guests
- Outings Committee – to be taken on all outings in case of emergency or illness of guests
White Folder
Kept in the locked Leisure Time cupboard in Room 2, the White Folder contains daily operational information and records, such as emergency procedures, guest list, attendance, collection of guests’ money, Day Leaders’ checklist, record of activities undertaken and a page of notes for each guest with current notes or messages related to care of that guest. This folder is taken out and used during every Leisure Time session. It is an important means of communication between the various Day Leaders and other Committee members.
Kitchen Cashbook
Kept in the locked Leisure Time cupboard in the kitchen, the Kitchen Cashbook is used to record money reimbursed to Kitchen Leaders and cooks.
Host Cashbook
Kept in the locked Leisure Time cupboard in the kitchen, The Host Cashbook is used to record guests’ payments and money reimbursed to Day Leaders, hosts and Committee members for out-of-pocket expenses. Keys for Leisure Time cupboards are on a hook on the left side of the fridge in the church kitchen.
