Minutes of Finance Committee Meeting: 8 July 2014, commenced at 7.30pm.

Prior matters:

2011 audit: Yates Partners to deliver documents personally to the GWUC office this week.

2012 Accounts/audit: Following from delivery of 2012 documents to Yates Partners, Ashley has been requested to provide answers on specific transactions: i.e. verification (via bank statements) of cheques banked, copies of supplier invoices, and reasons for variances of a number of general ledger accounts between the 2011 and 2012 years. Ashley hopes to provide this back to Yates Partners by Friday 11th July 2014.

Jacob Davey Internship: Clarification needed on a date for his completion.

Agenda:

MYOB options. Warren had an earlier discussion with MYOB two options relevant for GWUC. The first was an online web version (Essentials) giving up to five people access to the database as any one time for $29 per month, inclusive of 24/7 phone support and annual upgrades if required. The only issue is that we cannot import data from our existing file. The second option was a single user version for $43 per month, which we could buy outright for $360 if we wanted to. We agreed that the first option was best for GWUC and will most likely buy it in September or October 2014 working towards a January 2015 changeover.

General:

Ashley advised he has asked Matthew to complete the synod online survey. • We discussed Warren’s analysis of data as requested from giving recorders committee. Warren will send to council for discussion and then forwarding onto new planned giving committee.
