Chinese Dads’ Playgroup Program

Progress Report to Church Council for the meeting on 26th September 2018

Introduction

On 22nd August the GWUC Chair of Church Council, Glyn Howells, asked me to take over co-ordination of the GWUC volunteers and the administration of the partnership with Uniting Connections for the Chinese Dads' Playgroup Program, with the following job description:


  1. write a brief monthly report for CC meetings
  2. discuss and evaluate the list of volunteer tasks as necessary with relevant stakeholders (e.g. Property Committee, Playgroup Coordinator, etc.) to ascertain its practicality and whether all bases have been covered
  3. liaise with the four men who have expressed an interest in volunteering for term 4
  4. find volunteers for each of the five sessions discussing with them the scope of the job
  5. seek to monitor the program on an on-going basis and deal with teething problems

The program also connects closely with the Ministry team and the Hub Missional Group (GeraldineFleming, Convener) and Playgroups (BevRichardson, Coordinator) and the Congregation's vision (JohnSnare) and Property (WarrenGreenwood).


Progress to Date

  1. During the last week of August I had preliminary discussions with stakeholders.
  2. Starting on 1st September a Memorandum of Understanding was compiled with inputs from all stakeholders. The MOU was finalised and signed by Trish Chapman on behalf of Uniting on 12th September. It will be submitted to GWUC Church Council for approval on 26th September. If approved it will be signed by the Chair of Church Council.
  3. On 21st September from 2:30 to 4:30 there was a meeting at the church between Joseph Jin of Uniting and Bill Norquay, David Morgan, Ken Hutchinson and Peter Stewart of GWUC.
    1. Each person present introduced themselves briefly.
    2. Joseph explained the purpose of the program. Various practical aspects were discussed.
    3. Joseph will supply the registration and consent forms for each family and attendance register sheets for the dads to sign on and sign off when arriving and leaving.
    4. The contribution is $20 per family for the term, paid at the first session, with no refunds for missed sessions after joining. If new members join after the first session, they will be asked to contribute $4 for each of the sessions remaining at the time of joining.
    5. GWUC volunteers will collect the money, and put it in a labelled envelope in the church mail box for banking the following week. Receipts will be issued by GWUC volunteers using a triplicate book supplied by the office. Top copy to the father, second copy in the envelope with the money, and third copy to remain in the book, kept in Room 3. The receipt number will be entered on the list of families provided by Joseph.
    6. Peter will arrange with the GWUC Treasurer, Ashley Irvine, to create a new account in the church’s chart of accounts for this program. At the end of the program the balance of the account (total income less total expenses) will be split 50/50 between GWUC and Uniting.
    7. One thing that did not get discussed was how to unlock and unpack the toys and items of equipment. This will be done at the first session each volunteer attends.
    8. The GWUC volunteers advised Peter what dates they will be available. Peter will circulate a draft roster. The aim is to have at least two GWUC volunteers at each session. Now available at RosterDadsPlayGroup.

Dates

The program is scheduled to start on Saturday 13th October with four subsequent fortnightly sessions on 27th October, 10th November, 24th November and 6th December.
