Overview of GWUC Information Systems
Information is kept in four systems. Detailed information on the physical computers that maintain these systems is available at ComputerSystemsDetails.
Web page
- Principally for outside consumption.
- No login needed.
To have material included, send to [email protected] (RussellGreenwood).
Wiki
- Mainly intended for communication within the GWUC community.
- Login needed for many pages but not all.
- Access to each page is set as part of the page.
To set up an account or reset a password etc., contact DavidMorgan or JohnHurst.
Pages can be edited by users, subject to appropriate logins, or contact as above or ChurchOffice
- Personal home pages give individual information.
- Click on a name to find this.
- Existing home pages are automatically updated from the Database each week.
Information on how the wiki works and the GwucIgor programs used to maintain the wiki from the database is available.
- Moving to a new server.
Database (Rolls)
- Primary repository of personal information; contact details and group participation.
Information is to be used for church purposes only, in accord with the PrivacyPolicy.
- Login required.
Restricted to ChurchOffice, MinistryTeam, Pastoral Committee, and DatabaseGroup.
- Updates should be requested through one of the above.
GWUCIgor
- This is a set of Scripts to perform various functions involving the wiki and the database, including:
Providing congregational interface to the database by generating wiki home pages from the rolls database. Also group definition pages and email lists. See discussion at DatabaseAndWiki
- Generating reminders and reformatted versions of rosters from the wiki pages.
- Allocating the "rolling" rosters.
- Generating the photoboard in the foyer from the rolls database.
- Collating the annual reports of groups.
The scripts run under Igor from Wavemetrics
These functions are normally done by DavidMorgan, but the program is available on a laptop for others to use, and have been demonstrated to HeatherHon in April 2015. This avoids license costs.
Further information is available at GwucIgor
Church Office Computers
- There are two computers in the church office, only accessible from within the office.
- One is used by Heather in her day-to-day administration of church affairs. This is an Apple iMac, current running Mac OS X, but it can be rebooted into Windows.
- This computer is not normally available to others
- One is used by the church finance staff to maintain financial records. It is a PC running Windows.
- This computer can be used by anyone involved in church financial record keeping.
- One is used by Heather in her day-to-day administration of church affairs. This is an Apple iMac, current running Mac OS X, but it can be rebooted into Windows.
- Note that there are a number of information systems maintained on the primary office computer for Heather's use only. It can also be used to access the financial records when the secondary computer is unavailable. Note that the MYOB licence allows only one user at a time, regardless of which computer.
Church EMails
The email distribution list is now maintained on MailChimp
An administrator account is required to access this. Current users are ChurchOffice, RussellGreenwood & DavidMorgan
- Recipients can be added and removed via this.
- Recipients can also unsubscribe themselves from any email.
- Note that administrators cannot re-subscribe a person who has unsubscribed.
But it seems to be possible using https://gwuc.us13.list-manage.com/subscribe?u=37010fcf076a5fbf8a261ceba&id=faccee03c2
- Note that with Mailchimp, if you forward the email to someone else and THEY hit unsubscribe, it can unsubscribe the original person.
People can subscribe themselves at any time at http://eepurl.com/c8zcWH
- This does not cause any email check, and seems to work for people who have accidentally unsubscribed or been "Cleaned".
- There is currently no automatic way to synchronise this list with the rolls database "Information Delivery" field.
Google Apps
Provides [email protected] email addresses and groups.
- Also forms and associated spreadsheets.
