GWUC PLAYGROUPS ROLE DESCRIPTIONS FOR VOLUNTEERS

PREAMBLE AND REQUIREMENTS FOR ALL PLAYGROUP VOLUNTEERS

  • All volunteers will agree to continue in their roles as long as necessary and they feel willing and able to do so.
  • All volunteers will endeavour to support the vision and mission statement of the GWUC Playgroups.
  • All will be familiar with and supportive of the GWUC vision, particularly its Outreach mission and Safe Church policies. All will have current Working with Children Checks.
  • They will be happy to discuss the basic principles of their Christian faith as a motivation for volunteering as a GWUC Playgroup leader and to discuss worship opportunities at GWUC if the question arises, but will not seek to “proselytise” or “convert” playgroup members of other faiths. All religious traditions will be respected at playgroup.
  • They will endeavour to work collaboratively with other members of the team.

COORDINATOR

Role and Responsibilities

The Coordinator will take the responsibility for oversight of all groups. This will include:

  • Regularly visiting each group
  • Liaising with, and reporting to, the Coordinator of GWUC Community Hub Mission Group and Church Council through the Children and Young Families Pastor. The Coordinator or her representative will attend CHMG meetings and report to this group as required.
  • Consulting regularly with all members of the Playgroups Leadership team.
  • Consulting, as needed, with the Membership Coordinator, the Treasurer, the Craft Supplies, and the Pastoral Care Coordinators.
  • Recruiting, as required, new members of the Leadership Team
  • Liaising with the GWUC Property Committee and Church Office, as required.
  • Dealing with matters arising from membership of Playgroups Victoria, the Christian Playgroups Network and Monash Council.

MORNING TEA HELPERS

Role and responsibilities

  • These Playgroup helpers have volunteered to prepare for morning tea and to help clean up afterwards.
  • They have volunteered to ensure that milk, hot water, sugar, coffee and tea bags are available when morning tea is required.
  • Leaders and mothers will help as required.

REQUIREMENTS

GROUP LEADERS

Role and Responsibilities

In consultation with and the help of all other members of their daily team, these members of the leadership team have volunteered to:

  • Be responsible for the daily running of their group.
  • Ensure that the rooms and equipment are set up by 10 am and that the rooms are left ready for the next users when the session finishes
  • Welcome mothers/carers and children as they arrive
  • Ensure that everyone feels welcome, respected and included
  • Ensure that a range of suitable activities is available for children to enjoy
  • Oversee general matters of safety, hygiene and social interaction and documenting any incident that causes concern
  • Contact the coordinator or another member of their daily team if they are unavailable to lead on a particular day
  • Remind members when term fees are due and ensuring that money is taken to the Office promptly.
  • Ensure that the sign in and out sheets are completed.
  • Distribute relevant information to parents as required.

TEAM MEMBERS

Role and Responsibilities

These volunteers are familiar with the vision, mission and policies of GWUC. They have agreed to:

  • Attend on their chosen day
  • Notify their daily leader if they are unable to come
  • Generally assist with or lead activities at Playgroup if and when they feel comfortable doing so.
  • Help mothers and children feel welcome and supported
  • Discreetly oversee the interaction between playgroup members and discuss any matter of concern with the daily leader
  • When possible, attend Playgroup Team meetings and contribute ideas and suggestions for Playgroup activities and organisation

TREASURER

Important note: All playgroup money is received, receipted and banked through the GWUC office. Records are kept and payments made through the GWUC Office and Treasurer.

Role and Responsibilities

The Playgroup treasurer will be a member of the Leadership Team who has volunteered to:

  • Keep general oversight of the Playgroup budget, including receipts and expenditure.
  • Prepare the annual budget as required by the Church Council
  • Advise the Leadership Team regarding any proposed major expenditure
  • Liaise with the GWUC Treasurer as required
  • Oversee the collection and recording of members’ term fee payments

CRAFT COORDINATOR

Role and Responsibilities

This volunteer has agreed to:

  • Audit craft supplies and replenish them as required.
