#acl DatabaseGroup:read,write,admin All:read Back to [[GroupContactList|Group Contacts' Page]] == The Church Rolls database for group contacts == * The new (2010) church rolls database is accessible over the web by multiple users. This is so that ministry team, pastoral committee and appropriate group contacts can use the database for contact purposes, and also help the office in the task of keeping it current. This will minimise the keeping and printing of "private" lists, with the attendant problems of information accuracy and security. The more people use the database and contribute to its upkeep, the more useful it will be to everyone. * Information in the database is subject to the GWUC PrivacyPolicy. * Group contacts who are willing and have computer access are encouraged to become database users. Please contact one of the database group, DavidMorgan, JohnHurst or WarrenGreenwood to arrange this. We will set the type of user to restrict access to contact information, and to limit any possible accidental changes. You will be given a user name and password. As usual, you can and should change the password. Any one of us can reset it if needed. * To see the rolls, go to http://in.gwuc.org.au:8081/db/Default.php and log in. * You can search for a person or family name in the search box. * You can get a group list by going to the ''Groups'' menu, selecting ''List groups'', and then choosing your group. (The list of groups is ordered by Group Type, then name, so you may have to look a bit.) The list of group members is similarly ordered by Role and then Name. * There is another form of group report, as a .pdf file, available under ''Data/Reports, Report Menu, Reports on groups and roles'', select your group and ''Report for any role in group selected'', and click ''Next'', then choose the contact details required, and click ''Create Report''. It should download the .pdf file, which may open automatically, depending on how your browser is configured. * Adding a person to a group is most easily done by finding the person, scrolling down to the bottom of the ''Assigned groups'', choosing your group in the popup menu, and then clicking the ''Assign'' button. * Removal can be done either from the ''Person'' page or the''Group'' page. * To email your group, go to the group view and click on ''Email (BCC)''. This should open a new email in your mail program. * If you hear of changes in contact details, you are encouraged to Edit the database. Street addresses belong to Families, emails and mobiles to Persons, and home phone numbers are recorded in both.
